Step 1: Adjust Chair Height
Start with the chair because it provides the foundation for the rest of the workstation.
Adjust the chair so:
- Both feet rest flat on the floor.
- Use a footrest if your feet cannot reach comfortably.
- The knees are near a comfortable 90-degree angle.
- The hips remain level with or slightly above the knees.
- The lower back is supported.
- The shoulders remain relaxed.
- The elbows stay close to the body.
OSHA recommends a chair that supports the spine’s natural curve while allowing the feet to rest flat on the floor or on a footrest (OSHA, n.d.-b).
A person should not have to raise the shoulders or reach upward just to type.
If the desk is too high, you may need to raise the chair. If raising the chair causes the feet to hang, adding a footrest can help maintain lower-body support.
Step 2: Adjust the Desk, Keyboard, and Mouse
Next, look at the desk.
The keyboard and mouse should be close enough that the person does not have to stretch the arms forward.
The elbows should generally remain close to the sides of the body. OSHA recommends an elbow angle of roughly 90 to 120 degrees during computer work (OSHA, n.d.-a).
A good keyboard and mouse position should allow:
- Relaxed shoulders
- Elbows close to the body
- Forearms close to level
- Straight or neutral wrists
- Minimal reaching
- Easy access to frequently used equipment
A mouse placed too far away can cause the shoulder to move forward repeatedly. Over several hours, this position may contribute to shoulder and upper-back fatigue.
Step 3: Raise the Computer Screen
A low computer screen is one of the most common causes of forward head posture.
When the screen sits too low, a person may repeatedly bend the neck and push the head forward.
OSHA recommends placing the top of the computer monitor at or slightly below eye level. The monitor should also be positioned directly in front of the user so the head does not have to remain rotated to one side (OSHA, n.d.-c).
A basic screen setup should include:
- Top of the monitor near eye level
- Screen directly in front of the body
- Comfortable viewing distance
- Minimal glare
- Text large enough to read without leaning forward
The goal is to keep the head and neck balanced over the torso rather than constantly moving toward the screen.
Laptop Users Need Special Attention
Laptop computers create an ergonomic challenge because they attach the keyboard and screen together.
If you place the laptop keyboard at the correct height for your hands, the screen may be too low.
If you raise the laptop to eye level, the keyboard becomes too high.
For regular or prolonged laptop work, OSHA recommends considering an external keyboard and monitor, or similar equipment that lets you position your hands and screen independently (OSHA, n.d.-d).
